AI + Mendix accelerates group travel planning at Wens Travel
Wens Travel, a specialist in fully customized group trips across Europe, has been creating unforgettable travel experiences for more than 45 years. Every itinerary is unique, tailored to the specific wishes and preferences of each group. From luxury hotels and special activities to transport and events, this high level of personalization makes planning travel programs both complex and time-consuming.
To deal with the large amount of unstructured data in their operations, Wens Travel decided to leverage AI technology to streamline and scale their processes.
The challenge
Creating a new trip required extensive manual work. Information from previous trips was scattered across unstructured documents, Excel files, and emails. Staff spent hours searching, copying, and re-entering data into the travel system. At the same time, they lacked a clear overview: Where do we stand with planning? Are suppliers confirmed? Have payments been processed?
In short: Wens Travel needed more control, speed, and scalability in their operations — without compromising on quality or customization.
The solution: an AI-powered travel planning assistant
Together with MxBlue and Superp.ai, Wens Travel implemented an advanced AI assistant, powered by a Large Language Model (LLM) and a vector database. The solution was built in Mendix and leverages OpenAI technology.
The AI assistant supports travel planners via a chat interface: based on past trips, it generates suggestions and, once approved, automatically creates the required travel objects in Wens Travel’s system.
The enhanced platform also provides staff with real-time insights to efficiently prepare itineraries and monitor progress. Supplier data — such as contact details, rates, and documents — is stored centrally. Smart notifications alert staff to missing information, such as outstanding payments or unconfirmed bookings. As a result, planners can act proactively, processes stay under control, and travel programs are completed faster and with greater reliability.
How the AI assistant works
Input via chat
The planner starts a conversation and specifies preferences for the new trip.
Search in historical data
The assistant automatically retrieves previous itineraries and highlights relevant hotels, transport options, and activities.
Collaborative selection
Together with the AI assistant, the planner composes the itinerary — entirely through the chat interface.
Approval by staff
Once the program is complete, the planner approves it, triggering the creation of the required objects.
Object creation in the system
The assistant automatically creates all necessary objects — from accommodations to transport — and records them in the system.
Validation and storage in Mendix
Data is validated within Mendix and stored only if complete and correct.
Notifications & monitoring
Real-time dashboards track progress. Automated alerts signal missing information or critical tasks, such as pending payments.
